Qodeup x LightspeedKSeries Setup

Features

By using the integration, restaurants can easily use the Qodeup pay at table feature while also keeping the Lightspeed tables updated with the payments made at the table. In case a payment is not accepted within Lightspeed, an email is sent to the email addresses specified within the integration settings which was inputted during the integration setup. The email includes the error message received and a retry functionality for when the issue is resolved.

What the integration does

  • Improves the pay at table Qodeup feature by adding a payment made through Qodeup into Lightspeed K Series for the table payments to be updated accordingly
  • Allows resending payments  to Lightspeed K Series if an issue occurs when sending the data
    • You will receive an email to the account you specify within your  back office integration settings
    • Within the email you will be informed on what was the issue and a button to retry the payment
    • E.g.
      • Lightspeed payment API not enabled
    • E.g.
      • The payment method selected within  back office has been changed from the Lightspeed back office
      • Fix: Go to your integration in  back office and reselect the payment method. Make sure to save the changes
  • Allow Qodeup to send orders to Lightspeed K Series eat in or to go.

What the integration doesn’t do

  • Does not specify to Lightspeed K Series what items were paid for but only the amount which was paid

Customer Onboarding

  • Create a new account if one not available Create ilglu account
  • Create integration
    • From the ILGLU marketplace find the Lightspeed K Series to Qodeup integration

    • Click on 'Go to glu'
    • Click on 'Add new'

    • Authenticate with Lightspeed K Series if not already authenticated Connect to Lightspeed
    • Select the Lightspeed K Series business and fill in the details

      • The payment methods are retrieved from the payment methods you have set within your Lightspeed back office.
      • The integration ID needs to be given to your Qodeup contact to link with your Qodeup account.
      • Fields details:
        • Integration Name: any name used to refer to your integration
        • Payment Method: payment method to be used when sending the payment to lightspeed
        • Payment Method Option 2: payment method to be used when sending the voucher payment to lightspeed
        • Email to send notifications to (comma separated) (optional): enter emails to receive email notifications in case of invalid sku, Lightspeed printing error, Lightspeed connection error.
    • Click on 'Save' and 'Enable'
    • Select the payment subscription you would like to use

    • Click on 'Add to my plan'
    • The integration is now activated and can be used.

Lightspeed Setup

  • Create lightspeed payment methods
    • Lightspeed back office > Configuration > Settings > Payment Methods
    • Click on ‘Add a payment method’
      • Create a payment method to identify Qodeup payments made using card
      • Create a payment method to identify Qodeup payments made using vouchers
  • Enable Payment API
    • Contact your Lightspeed support so they turn on the payment API for your account.
    • The fields should be filled in as follows
      • The staff select should be an account which will never be terminated
      • The payment method will be overridden based on the one that is selected within the  settings
    • The devices should be selected to receive the payments
      • The iPad name button should be blue
      • Make sure this iPad is always on
  • Enable real time notifications
    • Contact your Lightspeed support so they turn on real time notifications for your account.
    • The notificationType should be: 'UPDATE' and 'CLOSE'
    • The notifications should be directed to 'https://api.ilglu.com/v1/wh/lightspeedKSeries'

Integration Details

  • Get Floorplans
    • When Qodeup requests tables for a specific business
  • Get Open Checks
    • When Qodeup requests tables for a specific business
    • When Qodeup requests a specific table for a specific business
    • When an Update real time notification is received from Lightspeed
    • When Qodeup sends to make payment, to check that the amount sent to lightspeed is not higher than the remaining amount
  • Apply a Payment
    • When a payment has been made using Qodeup pay at table
  • Authentication
    • When the lightspeed account is initially connected with 
    • When the  settings page is opened
    • When the token is refreshed (Triggered when either a payment is made, floor plans are retrieved or open checks are requested, and the token expiry date is exceeded)
  • Get Payment Methods
    • During initial setup of  integration settings
    • When the  integration settings are accessed
  • Notifications Payment
    • Receive notification whenever a payment to lightspeed is made through our integration
  • Event notifications
    • Receive notifications whenever a change (Update or Close) is made within an order
  • Get Businesses
    • When the ILGLU settings page is opened and on initial setup

Customer Email Issues and solutions

    • Lightspeed payment API not enabled

    • The staff account that was used to send the payment or opened the table has been inactivated or closed from Lightspeed back office

    • The payment method selected within ILGLU back office has been changed from the Lightspeed back office
    • Fix: Go to your integration in ILGLU back office and reselect the payment method. Make sure to save the changes
